This is the privacy policy for FullAccount, an online tool that helps New Zealand schools work through the stand-down and suspension process. It explains what personal information FullAccount collects about you, how we handle it, and your rights under the New Zealand Privacy Act 2020.
What this policy covers
This policy is about the personal information FullAccount holds about you — the school staff who sign in and use it.
It is separate from the information a school records in a case. When a school works through a stand-down or suspension in FullAccount, FullAccount stores the case and its details — including information about the student and the representations of their family / whānau and of staff, recorded in their own words. FullAccount holds this only to provide the service to the school: the school decides what is entered and is responsible for it, and how FullAccount may handle it is set out in our agreement with the school.
What we collect
To sign you in we need your school email address. To set up and run your school's FullAccount we collect the information needed to create your account and your school's profile — for example your name, your role (such as principal or administrator), and your school's name. We collect only what we need to provide the service.
How we collect it
Your email is sent to FullAccount over an encrypted connection when you ask for a link — we do not use a third-party form service. We then email you a single-use link that expires after a short time. FullAccount does not use passwords: you sign in through the link we email you.
Why we collect it
We use your details to email you a secure sign-in or set-up link, to create and run your school's FullAccount, and to contact you about your account. We will not add you to a marketing list or send you unrelated messages.
Cookies and tracking
FullAccount uses a single cookie to keep you signed in; it is necessary for the service and is not used for tracking or advertising. We do not run analytics or tracking on you.
Who we share it with
We do not sell your information and we do not share it for marketing. We use service providers — for example, cloud hosting and email delivery — to run FullAccount; they process information only on our behalf and only as needed to provide the service. We may disclose information if we are required to by law.
How long we keep it
The links we email you are single-use and expire quickly. We keep your account details for as long as you have a FullAccount, and delete them when they are no longer needed.
Your rights
Under the Privacy Act 2020 you may ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. To do any of these, email us at hello@fullaccount.nz and we will action it promptly.
